We provide outsourced finance function services to businesses. This notice explains what personal data we collect, why, and what rights you have.
What we collect and why
If you complete the Finance Health Score
You can see your headline score without giving us any personal data. If you choose to unlock the detailed breakdown, we collect:
- Your first name and work email address
- Your company name and annual turnover band
- Your answers to the twelve assessment questions, the resulting score and category scores, and the date and time of completion
Why: to produce and send you the result you asked for, and — where you have agreed to it — to send you occasional relevant material about our services.
Lawful basis: taking steps at your request prior to entering a contract (UK GDPR Article 6(1)(b)) for producing and sending the result. Consent (Article 6(1)(a)) for any marketing email.
Your marketing preference is a separate, optional tick box. You will receive your result whether or not you tick it.
If you book a call with us
Through Microsoft Bookings we collect your name, email address, company name, turnover band, any free-text answers you give, and the date and time of the appointment.
Why: to schedule, hold and prepare for the call.
Lawful basis: taking steps at your request prior to entering a contract (Article 6(1)(b)).
If you buy a diagnostic or engage us
We collect the contact details of the individuals we deal with, and we are given access to financial and operational information about your business. Where that information identifies individuals — for example payroll records, supplier or customer contacts — we process it on your instructions as a processor, under a separate written agreement.
Why: to deliver the services you have engaged us to provide.
Lawful basis: performance of a contract (Article 6(1)(b)), and legal obligation (Article 6(1)(c)) for records we are required to keep.
Payment card details are collected and processed by Stripe. We never see or store your card number.
If we contact you as a prospective client
We carry out business-to-business outreach. Where we have not obtained your details from you directly, we obtain them from publicly available business sources — Companies House, company websites, LinkedIn and comparable business directories.
The data concerned is limited to business contact information: name, job title, employer and business email address.
Lawful basis: our legitimate interests in promoting our services to businesses likely to need them (Article 6(1)(f)). We have assessed that this is proportionate because the data is business contact data obtained from public sources, the volume is low, the message is relevant to the recipient’s role, and every message carries a clear and immediate opt-out.
You can object at any time by replying to any message or emailing mike@mapfinancesolutions.com. We will stop, and we keep a suppression list to make sure we do not contact you again.
If you visit our website
We measure site usage with Plausible Analytics, which is cookieless, EU-hosted, and collects no personal data and no persistent identifier. We can see aggregate visitor numbers and page views; we cannot identify you. We set no tracking or advertising cookies. See our Cookie Notice for the detail.
Automated scoring
The Finance Health Score produces a result automatically from the answers you give. It is an indicative self-assessment. It is not a decision about you, it produces no legal or similarly significant effect, and a person reviews the outcome before we make any recommendation to you.
Who we share your data with
We do not sell personal data. We share it only with service providers who process it on our behalf under contract:

We will also disclose data where we are required to by law.
Some of these providers operate outside the UK. Where personal data is transferred internationally, it is protected by UK adequacy regulations or by the International Data Transfer Agreement or Addendum, as applicable.
How long we keep it

Your rights
You have the right to ask us to give you a copy of your personal data; to correct it; to erase it; to restrict how we use it; to give it to you or another provider in a portable format; and to object to our use of it where we rely on legitimate interests. Where we rely on your consent, you can withdraw it at any time — that does not affect anything we did before you withdrew it.

If you are unhappy with how we have handled your data you can complain to the Information Commissioner’s Office at ico.org.uk, or by calling 0303 123 1113. We would appreciate the chance to put things right first.

We will update this notice as our services change. The version date at the top tells you when it was last revised.
